How to issue a work request?


This video covers all aspects of FMDesktop's Work Request Functionality. The video demonstrates how Work Requests are entered, managed, distributed and reported.

Supporting Script: Issuing a Work Request

This demonstration shows how to issue a work request out of Facility Management Software.
Once FM Desktop is open, the start screen shows here the work requests which are due today, and below it the work requests that were created but not issued. On the right and side we have the active projects name linked to the database and far right shows some demographics like the total capacity, vacant rooms etc.
So, from here, we click on Actions menu on the main tool bar and then click on the Work Request. Now we see here that there are 33 active requests with this database at the moment. To create a new work request we need to click on new work request. So suppose now, we need to create a work request that the fire extinguisher in Room Number AC-305 is not working.
So, I can go to the asset mini tab here and go to the plan that is Ambulatory Care 3 and then click on the fire extinguisher. We’ll notice that the supporting information like the property, asset name and location is automatically filled in. Now to detail the work request out I can add a requester if I have one, add a phone number, shop all the other details which we see here. There are many options here so if you don’t require a particular field you can just leave it blank.

Let’s take a look of how Work Request typically looks like. There are tabs across the top of a work request which will take you to specific pages of the form so that information can be quickly entered. Also within each page of the form, all the fields are clearly titled and many of the fields have minitabs which allow the user to fill up already existed fields by just scrolling it down. The whole idea here is to fill up information as quickly as possible. Now at the very top of the form are specific actions you can take after all the information is filled out.
So, now in the right hand side we see the status of the work request which is ‘Requested’ because it is a new work request. If I pull down the menu here we see that it could be approved, if as a manager I decide to approve it, or open or cancelled. For now, I’ll leave this as requested.
Different types can be assigned to it, right now I‘ll leave it as Demand.
Different priority levels can be assigned to it from Emergency to Low priority.

In the description tab, I can put in as much information as I know which could help technician fix the problem. So, I’ll type in the description of what I want it to happen. (Fire extinguisher leaked. Has to be replaced.)
The Asset that is worked on is visible in the asset tab.

Work Request Form

Labor is where one can assign labor out of the labor pool. So, if we click on add here we can assign who you want to take care of that problem.
‘Parts’ is where one has to add a part to the work request. If you click on add then a particular part which is needed for the work to be done can be added.
Comments tab is actually a little bit different from the Description tab. It is also a text box but it is intended to be filled in by the technician who is doing the job. It allows for the technician to communicate back to the facilities manager.
Summary tab gives information about the cost of the work request. Also tracks the progress of the work order.
Documents tab allows you to attach any other pdf or additional information that supplements the work order.
The concept of keeping user defined fields in any form of FM is that the facilities manager can add any other information for which there is no appropriate tab.

Let’s come back to the first tab which is the work request tab. So pretty much when all the information is populated you can preview to see how the work request looks like. To add a drawing or a marked up drawing with the work order we need to add work request with drawing or mark up in the report section.

Work request can be emailed or paged to a person; there are icons on the upper row which is fairly easy to use. Emails can be tied in with the Microsoft Outlook here.
This is pretty much a summary of how to use work request feature in FM desktop.

Work Request Recurrence: Another unique feature of FM is the Work Request Recurrence button. Any work request can be made recurring. To do this you simply have to click on the work request recurring button on the upper row of icons of this form. This is pretty much like a scheduling tool. Once setup, Autodesk FM will automatically set up new work requests based off of the schedule you defined.
